All documents related to People, Companies, Projects, Opportunities, Events and Job Orders can be stored in a Deskflow database as Binary Large Objects called BLOBS.

 

Deskflow will accept multiple document types such as Word, Excel, PowerPoint, PDF, Graphics formats, HTML, AVL, etc.

 

Also stored within the database are documents that were created via a Template in Deskflow, then automatically saved. Word document mail merge templates are created and managed by Deskflow in a template library. These templates are used to mail merge information into emails or documents sent to individual recipients or lists of recipients.

 

Master templates for Excel and PowerPoint do not have a mail merge capability, so these are saved in the documents tab of a dummy company or dummy contact. From this location they can be cloned and linked to other companies, contacts or candidates.

 

All documents are linked in multiple ways. For example, a letter to a contact is linked to the User, the contact person and the Company that employs the contact person.

 

All documents are full-text indexed so that phrase searching can be done quickly and efficiently.

Changes to documents, and new documents are indexed once a day, usually at night if SQL 2000 is used  for the database. If SQL 2003 is used, then the full-text index is updated immediately.

This means that a new or changed document can only be phrase-searched the next day.

 

Document Categories are not specific to individual parent records (such as a Person or Company)

Document Categories are global, and so a Document Category for a Person Document tab is the same Document Category that is visible in a Company Documents view.
