In order to detect which People records may be duplicates, Deskflow first identifies a list of People with the same criteria. These are called possible duplicates.
The criteria for duplicate people are: Last name + First name + (Initials OR Work phone OR Alt phone OR Mobile phone OR Home phone OR Postal Code OR Email address) The next step is to compare a third field of information about each of the possible duplicates such as: Initials, HomePhone, MobilePhone, WorkPhone, EmailAddress and ZIP/Postal Code.
If there is an exact match between the first two fields and at least one of the other fields of information, then the records are assumed to be duplicates. This is called a three-factor match.
Even though two People records may have identical data in three fields such as LastName, FirstName and HomePhone, remaining fields such as WorkPhone may have differing data values. Before these duplicate records can be merged, it is necessary to: (a) determine which record has better or newer data or (b) what rule should be used to merge data.
The Duplicate People Manager utility searches and lists possible duplicate People records based on User-selected criteria. Information on both duplicate and existing People records is displayed. Use visual comparisons to detect actual duplicates.
The Duplicate Candidates utility is similar in function to the Duplicate People utility, but it only merges candidates that have arrived via the Deskflow Career Centre and are still in limbo - they only exist in the Duplicates table, not the People table.
To Merge Duplicate People Records: 1.From the Deskflow Toolbar, click Tools > Duplicate People. The Duplicate People Manager screen appears. 2.On the first line, select: Merge Duplicate Based On Last Name + First Name + HomePhone. 3.Click the Binocular icon to search for duplicate People records. 4.Select a person record in the top list. Possible duplicate(s) are shown in the Duplicates list. 5.Click Show Selected People Resumes to view resumes. NOTE: If there is no Resume/CV on the person record, then no Resume/CV will appear. 6.Click Merge if the possible duplicate record is visually identified as an actual duplicate.
