The Temporary Assignments module (also called Fast Track Assignments) is designed for dispatching temporary drivers to trucks. A transportation or trucking company can use this module or can outsource the task of finding, assigning and dispatching temporary drivers.
A transportation company that outsources the dispatch function could have a number of regionally based Agents in a country. If regions are large, each Agent could be given an exclusive on one of the regions, and in turn that Agent could appoint multiple Sub-Agents in its assigned region.
Agent/Sub-Agent Model For a single country, a transportation company with a nation-wide fleet of trucks could have multiple Agents, each having multiple Sub-Agents. For this three tier organizational structure, the process would work as follows: 1.Transportation Company A contracts Agent A to dispatch truck drivers anywhere in Region A 2.Agent A then appoints multiple Sub-Agents, one per Sub-Region, to dispatch drivers in their Sub-Region 3.Each Sub-Agent is granted exclusive rights to a Sub-Region. 4.Company A submits a requisition to Agent A to find a truck driver for a specific trip in a Sub-Region, at a specific Date and Time, and for a specific Truck Type 5.Agent A attempts to fill the requisition from its pool of registered Drivers and non-busy drivers. 6.If Agent A cannot fill the requisition immediately, the requisition is revealed to one or more Sub-Agents 7.Each Sub-Agent attempts to dispatch a driver from its own pool of drivers. 8.Each Sub-Agent knows all the eligible Drivers in its Sub-Region and therefore has the best chance of dispatching a suitable Driver. 9.Other Sub-Agents are free to fill the position as well 10.After the position is filled, all recruiters at any level (Company, Agency or Sub-Agency) will see the position status change to Filled if they have the Billboard option enabled
The Deskflow Temporary Assignments software application module provides the following functionality:
•Enter and manage Requisitions for temporary Drivers and auto-assign them to only Agent recruiters (via a trigger) •New Requisitions are only visible to Agent recruiters, not Sub-Agent recruiters •Display a list of requisitions to recruiters, with ability to search, group, filter and sort according to each User's wishes •Manage a list of eligible Drivers and their qualifications •Select and place appropriate Drivers in open positions •Update the status of Requisitions based on actions taken by recruiters •Update status of Drivers, indicating Busy, Not-Busy status etc •Prevent recruiters from conflicts in the placement process •Provide a Billboard display that refreshes periodically based on a User-selectable refresh rate
Billboard Rules •Billboard Option can be set to ON from a browse list of Temp Assignments •If Billboard is ON, then a search resulting in a single detail record will leave Billboard ON •If Billboard is ON in a browse list of Temp Assignments, zoom to details will turn the Billboard mode OFF. •Refresh rate should be long if the browse list is long, else the data download volume could swamp the system to the point where a refresh never completes.
Process Summary: Temporary Assignments 1.Setup User WorkGroups and Permissions using Deskflow Administrator 2.Register new Drivers, their rates, credentials, driver category, employee codes, availability, address etc 3.Company A Registers New Temp Assignments with Status of 'Open' 4.Agent A recruiters Search for Open Temporary assignments. They get first crack at filling new assignments 5.Agent A recruiters use the Billboard display to Browse Temporary Assignments - a fast moving process 6.Agent A recruiters Fill Open Assignments from their pool of available Drivers 7.If Agent A recruiters are unable to fill new positions within an hour, they Release Assignments to SubAgents
