Search for People

Introduction

The People Search tab provides the ability to search for People using 69 pre-defined fields, and can concurrently search text notes, cover letters, activity history, resumes/CVs and documents.

The result of a search is a List of People. If only one record is found, a detail profile is opened, else a browse list of People will be displayed. Double click any row to show details on the highlighted person.

Refer to the topic, Searching for Information, for an introduction to search techniques.

Enter text in one or more fields. The search is an AND search on fields containing text.

Several text strings separated by a comma may be entered in any text field that does not have a drop down list. The comma designates an OR condition between the text strings in the field.

All fields assume an anchored, left justified search (item begins with...).

Text strings within a field must be separated by commas but extra spaces are ignored.

Strings that contain a comma cannot be searched.

Search Resumes/CVs for words or phrases separated by commas. Extra spaces are ignored.

There are two search screens available for finding People in Deskflow: Regular Search and Power Search.

The Regular Search has commonly-used fields in a pre-defined or static form, where each text box with a search value in it is combined with all others that have values. This is called an AND search. The limitation is that only pre-defined fields and text documents can be searched in this form.

Useful Hints:

Search for ALL Items entered in separate text boxes. Within a single text box, ANY items separated by commas are searched for.

LastName can be the first few letters, or can for example be M%Andrew to search for MacAndrew or McAndrew.

Title can have multiple values separated by commas. For example, search for any of these: Vice, President, Treasurer, Controller.

Role Codes are standardized Job Classification codes.

For a Position search, the default is for Current Position. Click the Since check box to search for current and previous positions.

For Company search, use commas to separate multiple values. Example: IBM, International Business.

For City, State, Zip Code etc. searches, use commas to separate multiple values. This searches for ANY value, not ALL.

Date range searches require Start and End dates.

Cover letter search is for a single phrase or word. Cover letters are not full-text indexed, so expect long search times.

A word or phrase search uses a full-text index, so it is quick. New Resumes/CVs are only indexed at pre-set time intervals, such as daily, hourly etc. so a search will not retrieve newly entered Resumes/CVs – until incremental indexing is completed. Please separate words and phrases with commas, and set the ANY or ALL preferences check box as needed.

Search Resumes/CVs for all forms of standard words. For example, a search for DRIVE will find: drove, driving, driven.

Single letter searches are not possible. Certain characters such as + ‘ –  etc are also not searchable.
